Complete Data Update

We have been very busy working on a number of new systems and improvements recently to the way we do business. Earlier this year we invested in some new technology called GoToAssist from Citrix Online. Citrix Online are a leader in Web-based access, support, and collaboration software and services. They are also the company behind the Terminal Server software that many of our clients use for remote/branch office access to Complete Data.

So far many of you have experienced the benefits of GoToAssist for support and training – the feedback (both informal and through the GoToAsssit feedback system) has been overwhelmingly positive and we have achieved a 99% positive rating each month. If you haven’t used GoToAssist with June, Luke or Andrew yet for training or support GoToAssist allows us, with your permission, to login and see your computer and take control. This all happens via the Internet (no other software is required) and all the data is encrypted and sent via a secure server. This lets us move beyond the limitations of telephone based support and get “hands on” and solve problems more quickly and also solve them on the first call. It has also become a useful tool for short training sessions and product demonstrations. If you want to get more information about GoToAssist just visit their website at:

We are also busy working on a new version of our website, along with new training materials. We have been trialing a web based conferencing system for remote training through Optus which some of you have also experienced recently with Luke. This lets us teleconference in the participants who can ask questions of the trainer and take control of the session for more hands on training. We are also in the process of using this technology to record sessions that we can make available for download for anyone that wants to do some self paced training in their own time.

Product Development

After a false start earlier this year we have just signed a contract to develop a web upload system for Complete Data. We hope to start testing this by the end of December and formally launch this some time in the new year. Initially this will offer upload facilities to realestate.com.au and domain.com.au with other sites to be added. If you are interested in becoming a test site for this and currently do NOT bulk upload to either of these sites from another program please contact Andrew Duncan at andrew@completedata.com.au. Unfortunately we cannot test this if you are currently bulk uploading to these sites from another program.

Entering more than one email address per contact.

One question that I am frequently asked is whether it is possible to add more than one email address to a contact?

I’m summary yes it is. You simply just have to hit the enter key in the email field once you have entered the first email address and then type the second email address.

Things to remember:

  1. When you enter a second email address it will not be visible on your screen but it will be there. You just have to click into the email field to see it.
  2. You can enter as many emails as you want into this field.
  3. When you go to send one email it will always send it to all addresses unless you remember to delete the additional addresses before sending the email.

 

Sending Bulk Emails

We are starting to get feedback from many users who are experiencing difficulty in sending bulk emails from Complete Data. These problems have nothing to do with Complete Data but everything to do with the provider of your outgoing mail server (similar to do a bulk mailout with Australia Post). Most of you will be familiar with spam and the various attempts to deal with it. One way Internet Providers in Australia deal with it is to restrict the number of emails that can be sent at any one time, making it harder for spammers to use their networks.

If you are experiencing problems sending bulk emails from Complete Data here are a couple of tips to keep in mind:

 

  1. You will need to check with your email service provider (most of the time will be the same as your internet provider) what your limit is to send a bulk amount of emails at any one time. This is important because if you are going to send the same email to 100 buyers and email and your limit is only 20, the last 80 people will not receive the email. You will receive an error like this for those last 80 buyers:  "ERROR: Send: 421 4.3.2 Connection rate limit exceeded"
  2. We suggest you get this limit raised to as high as you possibly can so you will never have this problem
  3. Make sure everyone in your database has there Dear field filled in. This will always appear on your emails and it will look unprofessional sending emails that are addressed to no one.
