Can you add a Back button?
I would like to add a back button to Complete Data, like Internet Explorer has?

A database and a web browser like Internet Explorer are not the same and including a back button like Explorer has is not possible unfortunately. Complete Data comprises over 40 different files or databases and you constantly move from one database to another, with no way of easily tracking where you came from.

How to I add additional quotes for the Thought for the Day?

I’ve noticed that a different Thought for the Day appears on the main menu each time I open Complete Data. How do I include additional messages so they appear here?

The "thought for the day" messages are picked at random from a collection stored in the CD_Quotes.fp5 database. You can add additional messages to this database by opening it directly and switching to the data entry layout and use the New Quote button to create a new quote that you can type/paste etc.

Login Problem to Complete Data
I’m trying to open Complete Data, but after I type in my password I get the following message: “Unknown User - please contact your Complete Data Administrator to setup access.” How do I resolve this?

When you open Complete Data it checks to see whether you have been entered as a user of Complete Data. You can see all the users of Complete Data by opening Complete Data, clicking System then Admin which presents you with a list of users already setup (you might need to do this on another computer if you cannot login from your computer). If you are not in the list of users click the New Account button and enter your details.

How do I get Complete Data to dial a phone number from the screen?

I notice there is a button that lets you dial a contact record’s phone number from the screen. How do I set this up?

This requires a connection between your computer and your telephone system. Some telephone systems support computer dialling by connecting a telephone cable from your computer’s modem port into your telephone handset. Other telephone systems don’t require this direct connection. FileMaker Pro under Windows is TAPI compliant - it passes dialing requests to Windows Phone Dialer, a telephony-centric application. For example if you click the telephone icon next to a contact’s mobile phone number FileMaker Pro will pass the number entered into this field to the Phone Dialer application to actually dial the phone number. Once the number starts ringing you can then pickup your telephone handset to continue the call. Importing Excel spreadsheets into the Contacts Database

I have created an Excel spreadsheet using the templates you have supplied and I would like to import this into the Contacts database.

 

Importing and exporting with Complete Data are streamlined processes activated through the Export

Records… and Import Records menu commands located in the File menu.

 

 

 

 You can export as many times as you would like, in whatever way you choose, without risk of changing or deleting data in the original Complete Data file. When importing, however, you should exercise more caution as some of the import options will overwrite existing data and cannot be undone.

It is important to remember when employing both functions that you must first navigate to a layout that shows records from the appropriate table.eg. to import into Contacts you must be on a contacts layout, To import Listings you must be on a listings layout, To import into the Service Area you must be on a Service Area layout.

 

 

Importing Records

The import data function brings data from excel into Complete Data

You can only import data into a single table at a time.

To import data into related fields, you must import data directly into the table that contains the related field.

 

The source file does not need to have the same number of fields or have fields in the same order as the

target file. During the import process, you can arrange the target fields so that the source data imports into

the correct fields, and skips the fields that you do not want to import.

 

  • Once the excel spreadsheet is in the correct format Go to a layout in the database you would like to import into.
  • Choose file, Import Records, from a file.
  • Select your excel spreadsheet from the appropriate location and select open.(Figure 1.1)
  • Enter the correct import  field mapping options  (Do not import first record , Arrange by matching names) .(Figure 1.2)
  • Make sure the source fields are going into the correct field on the right hand side.
  • Click import.
  • Tick the auto enter options in the next dialog box. (Figure 1.3)
  • A summary will pop up showing the user how many records were imported and if there were any issues.

Exporting Records

 

You can export Complete Data information to a new file and then open it in another application.

You can also opt to save data in Excel: use file Save as Excel or PDF when you want to create an Excel

spreadsheet that contains just the fields you have access to on the current Complete Data layout.

 

Use File export when you want a file to contain a range of fields you select in the export process.

Remote Access via Microsoft Terminal Services or Citrix

We are looking at setting up remote access to Complete Data from home and from another branch office. What is involved in this?

There are several ways to setup remote access to Complete Data, including dial in, Terminal Services and Citrix. Due to the way FileMaker Pro operates over a wide area connection we recommend either Terminal Services or Citrix due to their low bandwidth efficiencies (they only send keystrokes, screen changes and mouse clicks rather than the actual data). You can find information about Microsoft Terminal Services and FileMaker Pro at the following sites. Where can I find the FileMaker manuals?
I would like to read the manuals for FileMaker Pro, FileMaker Server and FileMaker Mobile. Where can I find these?

Copies of the FileMaker manuals can be found in Adobe Acrobat PDF format on the installation CD's. They should also be installed on each workstation computer in the following directory: C:\Program Files\FileMaker\FileMaker Pro 8\English Extras\Electronic Documentation You can also view them and download them from the FileMaker website at the following address: http://www.filemaker.com/support/product/documentation.html

Updating One Field for a Found Set of Records
I have found 250 records in the Contacts database. I would like to change the lead source for all 250 records in one go without having to do each record one by one. Is there a way to do this?

Yes, you can update the contents of one field for a found set of records quickly and easily. First do a Find so you have a found set of records which you wish to update. Then change the contents of the field you wish to make the same for all records in the found set, and make sure the cursor is still in the field (i.e. you can see it flashing). Then go to the Records menu at the top of the screen and select Replace Contents. You will then be presented with a dialog box that you should read carefully (there is no Undo feature after doing using the Replace Contents function). It should confirm that in the found set of records it will be replacing the contents of the field with the data you have just entered. If you are happy with this click the Replace button to update all records at once. If other users were editing any of the records in the found set at the time you do the replace you will be notified of the number of records that were skipped as a result.

Printing Barcodes from Complete Data
I would like to print barcodes from either the Contacts or Service Area module of Complete Data to take advantage of the bulk postage discounts from Australia Post. Is this possible?

Complete Data cannot print barcodes directly that are Australia Post approved. These need to be done by an approved software program certified by Australia Post. Changing the default Account Name
When I login to Complete Data I always have to change the Account Name from what is initially entered to my Account Name. Is there a way to change this permanently?

Yes - go to the Edit Menu>Preferences and change what is in the User Name section and click OK. The next time you open Complete Data it will default to what you entered in the User Name section.

Importing Excel spreadsheets into the Service Area Database

I have created an Excel spreadsheet using the templates you have supplied and I would like to import this into the Service Area database.

To import from an Excel spreadsheet into Complete Data open the Service Area database and follow these instructions: 1 - Make sure you are in the correct part of Complete Data. If you are importing data into the Service Area database you must first open the Service Area database from the Main Menu. Please verify that you are currently in the correct place for the data you wish to import. 2 - From the File menu select Import Records>File - it will then ask you to locate the file to import. Select your Excel spreadsheet and then click Open. If a "First Row Option" dialog box appears select Field names (this will be used to match the first row of column headings in Excel with the corresponding field names in Complete Data). 3 - In the next dialog, Import Field Mapping, choose Matching Names from the Arrange by menu in the right hand middle section and click Import 4 - In the next dialog "Import Options" make sure the first option is ticked then click Import and Complete Data will then importing the data from your Excel spreadsheet, creating one record for every row in the spreadsheet. The total number of records that were imported will be displayed at the end of the import process, along with any errors with the import process.
